When Should You Update Your Health and Safety Policy?
As regular visitors to our blog will know, having an effective health and safety policy in place is essential for the continued well-being of your workforce, particularly in the construction and haulage industries. As your company grows and your business needs change, so too will your health and safety requirements. As a responsible owner, you need to ensure that your current policy reflects those changes.
In this article, we’re going to look at the various reasons your health and safety policy might need updating and what you can do to ease the transition.
Health and Safety Policy Reviews
Even if your business processes remain unchanged, it’s important that you regularly review your existing health and safety policies to ensure they remain relevant. The Health and Safety Executive (HSE) advises an annual review at minimum in order to remain compliant with the latest legislation, but you may prefer to review your policies more frequently, depending on the nature of your business.
Of course, a policy review might not result in an update, particularly if your processes remain the same. However, there are several times when a policy update is essential.
Health and Safety Policy Updates
Not every update will come about as a result of a periodic policy review. Sometimes changes to your way of working will necessitate a full or partial update of your policy. These are some of the most common reasons for doing so:
Change of Location: When you move to a new site, expand your current workspace, or open a new location, conducting a risk assessment should be one of your first orders of business. Your health and safety policy can then be updated to reflect the findings of that assessment.
Change of Staff: As your business grows, so will your workforce. While a few new employees won’t have much impact on your health and safety policy, a significant increase in headcount can result in different health and safety hazards, such as congested evacuation routes, which will need to be addressed.
New Processes and Equipment: Whenever you introduce a new way of working or acquire new machinery for the job, you will need to update your policy accordingly. Staff will need to know their roles and responsibilities for handling this new equipment or new work techniques for their own safety.
Accidents and Injuries in the Workplace: Every injury or accident on work premises must be fully investigated to determine its cause and who was at fault. This includes updating the existing health and safety policy to ensure that suitable measures are in place to prevent such an incident from occurring in the future.
Changes to Legislation: Health and Safety legislation is a fluid thing, often changing when issues are identified at a national or regional level. Such changes can mean that your current policy is no longer compliant with the law, potentially putting you at risk of legal action until it is updated.
